File Order for Promotion and Tenure Cases

This checklist is designed to guide faculty and college personnel to prepare promotion and tenure cases. Case materials are to be in acrobat “.pdf” format, unprotected, on CD-ROM. Please follow this checklist for the contents and name of each file. Please follow the order of documents, as listed in this checklist, when creating each .pdf document.

The first CD-ROM should contain faculty materials: table of contents (including the titles listed of the four publications), personal statement, curriculum vitae, four publications or creative endeavors, teaching and instructional activity (including the teaching evaluation summary). When the case is for an academic professional’s review, a job description should be included as well. All other materials, including additional publications, individual student evaluations, syllabi and course content should be combined into a “supplemental materials” document.

The second CD should contain college/unit/department materials: the Personnel Action form (signed at each level), internal letters, grid of external reviewers, sample request letter, external reviewers’ letters, external reviewers’ vitae, department and college criteria. Important: All files are to be in .pdf format, and have no protection or security restrictions. The maximum size for each .pdf is 28 MB. If the file is larger, first use the .pdf optimizer. If the .pdf optimizer does not reduce the size below 28 MB, please separate the file into two documents and name appropriately, i.e., Lastname_F_11_supp-mats1.pdf and Lastname_F_11_supp-mats2.pdf. [Note: "F" stands for the first initial.]
