Hi everyone – registration for fall 2017 approaches quickly.  Attached are the registration dates for fall 2017.  Believe it or not we run them this week and they will be appearing on student’s MyASU page starting on Thursday the 9th.  Reminder that Fall 2017 FTF students were not term activated last week with everyone else and will not see registration dates on their MyASU since their registration and term activation date corresponds to their orientation date (except for Havasu!).

A reminder that summer registration opens this Wednesday on the 8th and we don’t use registration dates – it is open registration for all students.

Dear ASU Academic Advising Community:

We are sending you this email to make you aware that we now have a system in place to block International Sponsored students (Middle East Sponsored students only) from enrolling in online/hybrid courses as of Spring 2016 semester. Sponsors have requested this service of ASU over the past years and finally, with the help of the University Registrar Services, this effort has come into fruition. Sponsors have strict policies regarding online/hybrid enrollment and the number of online/hybrid credit hours a student can take throughout the duration of their degree program at ASU. Some sponsors restrict both online and hybrid, others will only restrict online. The number of  online/hybrid allowed can vary between 6-12 credit hours depending on the Sponsor. This policy is based mainly on diploma authentication requirement by the Ministry of Education in their home country. Some Sponsors will also not pay for any online/hybrid courses taken by the student without due permission and is causing a lot of billing confusion amongst affected parties. This systematic change will hopefully address and prevent these issues from happening, moving forward.

If a Sponsor requested this block, the students will receive an error message once they attempt to enroll for an online and/or hybrid course in MyASU.  If a student has a valid reason to take an online/hybrid class (i.e. within the limit of taking online/hybrid set by the sponsor, the class is required by the student’s major and only offered online, the student’s final semester, etc.) they must speak with their Sponsor adviser immediately and request permission in writing. Based on the current practice and depending on the circumstance, the Sponsor or the student may request the college Academic Adviser to confirm by email and/or provide letters justifying why a student may need to take an online and/or hybrid course.

If the student secures Sponsor permission, they will be given an override by the ISSC to enroll in the specific online/hybrid course they were approved for.  Both ISSC and the Sponsors communicated this information to all International Sponsored students currently enrolled at ASU. Good morning,

Due to circumstances beyond our control that have been affecting incoming transcript processing, we have decided to postpone the prerequisite purge.  Today, after manually reviewing as best as we can students affected by transcript processing, we will deliver a warning email to the purge population rather than dropping classes.

The drop of classes will occur next Thursday, August 13.

The disqualification/ineligible/probation reports are now available for you to review.  Please email any students (with id and status change) that need to be adjusted and/or changed directly to Records@asu.edu by 5:00 p.m. on Monday, May 18th, 2015, to ensure they are processed.  We will be dropping students who are either disqualified or ineligible from their fall 2015 classes on Tuesday, May 19th, by noon.

A few reminders: 

The Probation, Disqualified or Ineligible – by Term report (can be accessed at Student/Student Records/End of Term Reports folder) lists students who are not in good standing at the end of spring 2015. It includes:

  • the previous academic standing, if any
     
  • the student’s name, and home or mailing address, ASU email address, and cell phone if any
     
  • the "Current Acad Prog” shows the student’s current academic program and plan, which may not be the program the student was in on May 12 when Academic Standing was run. The “Acad Prog” column shows the program the student was in when Academic Standing was run. There may be multiple rows for some students who have multiple programs/plans. Go to the Distinct Count section for an unduplicated count.
     
  • the student’s GPA and cumulative units, which may have changed since Academic Standing was run. Refer to the section named “Spring 2015 Academic Standing” that lists this data as of the date and time when Academic Standing was run.

 PASS program

  • PASS program columns are indicated with a Y or N:
    • A column to indicate students required to participate in both the PASS program and UNI 220. 
    • A column to indicate students required to participate in UNI 220. 
    • A column to indicate students who are PASS eligible – so they have successfully completed the PASS workshop, UNI 220, and at least 5 required coaching sessions.

Co-enrolled Continuing Probation (CEPR) – we have 47 students that have an academic standing of CEPR.  As result they did not update during the automated process.  Just a reminder that those students need to be reviewed manually.  So please be sure to send those in for update as well.

As always any questions let me know.   Just a quick reminder that our office will be sending out letters to students who are ineligible on May 20th as well.  Dean’s list reports will be available May 27th.

We are pleased to inform you that we have revamped the ASU enrollment verification process and students can now run an enrollment verification directly from My ASU (see screenshot below.)   This is the same enrollment verification document that a student would get if they requested one directly from any University Registrar Services location.    Students are able to select from several options to include the major, earned degrees, and semester and cumulative GPA and print out the enrollment verification as a PDF document. Please contact Jennifer Glawson with any questions.

Hello,

The following email went out to 110 students enrolled in Summer, Session B, a few minutes ago.  Students will continue to be added into the dashboard results as spring grades are posted until early Monday morning, June 30th when we process the dropping of classes.  Those students will not be receiving email notifications prior to the drop.

Important Dates:

Sunday: 06/29/14 - Final department overrides entered so students will not be dropped from Session B

Monday: 06/30/14 – University Registrar Services drops students from courses which they do not meet prerequisites (Session B) and sends email notification to students for courses from which they have been dropped

Pre-requisite purge totals for Summer 2014: 213 students were successfully dropped from 238 classes.  All students were notified by email (below).

The list of students dropped is still available in the Prerequisite/Drop of Classes Dashboard results.  Please note that we did not drop students out of Session B classes at this time, but that those students will still be included in the Dashboard results for the Summer 2014 (All) view.  Session B only dashboard results will be available for review within the next few days by changing the dropdown Term criteria to Summer 2014 B. 

The Summer Session B purge is scheduled for Monday, June 30, 2014.

Log in to My ASU and select the “Dashboards” link on the left hand side then navigate to the “Prereq Review/Drop”dashboard in the College/School section.  You may also access it directly at https://webapp6.asu.edu/corda/dashboards/PrerequisiteReview/main.dashxml.  All advisors, schedulers and deans have access.  If you are unable to access the dashboard, click on the “Request Access” link in the URL above.

How to use the dashboard:

If you are a department reviewing students who will be dropped from courses offered by your unit:

  • Select “Summary” view and “Course” type to review summary data for your unit
  • Select “Detail” view and “Course” type to review individual student data.   Click the “Not Reviewed” button next to each student’s name after you have reviewed the student to update the status.   The “Not Reviewed” button will change to “Reviewed.”   Note:  only departments offering the course should change the “reviewed” status.

If you are a department/college/school reviewing students in your major(s):

  • Select “Summary” view and “Student” type to review summary data for students in your unit.
  • Select “Detail” view and “Student” type to review individual student data.    You may also further limit your search by major, student ID, plan code, honors or student-athlete status.   To limit to honors or student-athlete set the status to “y”.

A note from Cat Wade:

You may have already noticed this name being copied on emails, but I wanted to officially introduce my new Office Supervisor for the Courses team, Rebecca Klein.  I am transitioning most of the day to day processes that my team maintains over to her oversight, so you will notice that our responses will be tailored so that she will become your primary contact.  And more importantly, as she figures out what this position entails, she might actually become your only contact for the time being.  Besides being in her best interest so that she will see what kind of emails are coming in for the team, we are hoping that this will also lessen the impact to our service to you as we prepare our transition to Salesforce CRM in March.

Why do I mention Salesforce?  Basically, the idea is that all emails coming to the Courses@asu.edu address will auto-generate a case in Salesforce where you are the customer.  Since many of our email communications are transaction/implementation driven and do not necessitate a case being created (they are not student-centric issues that need to be tied to a specific student), we are trying to proactively determine better ways that still allow us to distribute workload appropriately.  We wanted you as one of our primary customers to know about this transition as it is quickly approaching.

Please welcome Rebecca to the Courses team and let us know if you have concerns or suggestions for our approach for this upcoming implementation!
